Connect the booking to the person controlling access
Identify who approves the equipment position and which entrance a supplier can use. Review guest routes, washing and accessible needs with that person before the final layout is fixed. The event organiser should not assume every site decision is covered by a venue booking.
Keep instructions available when roles change
Give the receiving person the confirmed model, position and visiting window. Name a contact for concerns and collection after the event. If the organiser leaves before cleanup ends, hand over the rental details rather than leaving the return visit without a responsible person.
Which contact can approve a change on delivery day?
For an event with a host and a separate property manager, decide who can approve the actual equipment position. Give the receiving person that contact and the accepted instructions. If a position changes, review guest access, washing and supplier access together rather than only finding another empty space.
Check existing facilities at the reserved pavilion
Boca Raton’s Sugar Sand Park pavilion information lists existing restrooms and different pavilion amenities. Start with the actual reservation and ask the venue contact what your group can use. Supplemental rental equipment should answer a remaining need, with placement and supplier arrangements separately confirmed.
