Start with the venue’s actual facilities
For a Parkland pavilion or other booked space, check which bathrooms guests and suppliers may use and when. Explain gaps during setup and cleanup. Review the need for temporary toilets, washing and accessible provision with the venue before deciding on a final arrangement.
Give the host a layout that can be approved
Show the position and routes for users, delivery and service. Compare amenities against the available space rather than leaving facilities to the last unused corner. Venue vendor and reservation requirements remain separate from the rental quote and must be addressed by the responsible organiser.
Guest needs and the approved event layout
Match facilities to the guest experience
List the audience, staff, vendors and helpers, then identify the busiest part of the programme. Consider permanent bathrooms that remain available for the whole event. Compare basic cabins, upgraded options, accessible facilities and washing by function. A premium category is not a substitute for enough convenient restroom access.
Does the venue booking include supplemental facilities?
Treat the venue’s reservation and vendor process separately from the equipment enquiry. Explain the proposed addition to the venue contact and ask what is needed before placement can be accepted. Keep their answer with the rental brief so the host does not mistake a quote for permission to install equipment.
