Make the order understandable to the site contact
List facilities, dates, supplies, visits and the route the supplier should use. Confirm who can approve placement if the ordering person is away. Tell the business about entry windows or procedures before relying on a delivery or recurring service arrangement.
Keep changes outside the guesswork
Report a longer project, more workers or a blocked entrance promptly. Ask how the proposal and service should be amended and confirm pickup when work ends. A contractor’s revised completion date does not itself notify the equipment provider.
Arrival instructions and recurring service
Make routine visits practical
A recurring rental still needs a clear service approach. Discuss locked gates, loading times and any periods when access cannot be granted. Keep vehicle and pedestrian routes distinct where the site plan requires it. Confirm cleaning, supplies and waste removal in writing; do not assume that an unspecified weekly visit covers every workload.
Can the receiving person make the placement decision?
Give that person the owner-approved location and the limits of their authority. If the supplier finds the position unsuitable, they need a reachable decision-maker rather than a guess. Keep service access instructions separate from a one-time delivery arrangement, particularly when different trades supervise the property later.
